Astra Wellness is seeking a Clinical Practice Manager to join our new practice. The Clinical Practice Manager is responsible for the overall business and administrative management of boutique behavioral health private practice while also providing some direct clinical services. This position provides operational leadership, overseas financial and revenue cycle functions, ensures compliance with all applicable laws and regulations, manages support staff, and carries an active clinical caseload as a licensed provider. The Clinical Practice Manager works closely with the practice owner(s) and treatment team to ensure delivery of high-quality, patient-centered care while maintaining efficient and sustainable operations.
Essential Duties and Responsibilities
- Serve as a role model for integrating administrative leadership with clinical practice.
- Participate in treatment team meetings, case reviews, and treatment planning as appropriate.
- Maintain appropriate clinical documentation in compliance with professional standards and regulatory requirements.
- Provide direct therapy services to clients, maintaining a clinical caseload up to 50% of the work schedule.
Operational Leadership
- Direct and oversee the daily operations of the practice, including front-office, scheduling, and administrative support functions.
- Develop, implement, and monitor policies, procedures, and workflows to optimize efficiency and consistency.
- Track key operational metrics such as net income, patient volume, no-show rates, scheduling utilization, and staffing coverage.
- Work collaboratively with direct service providers to reduce no-show rates and maintain the desired patient levels for each provider.
- Act as primary liaison between staff, providers, patients, and external stakeholders.
Staff Supervision & Development
- Recruit, hire, onboard, train, and manage staff.
- Conduct regular staff meetings to ensure effective communication and problem-solving.
- Perform performance evaluations and provide coaching and feedback to administrative staff.
- Maintain a positive and collaborative work environment that supports staff engagement and retention.
Financial Management & Revenue Cycle
- Prepare, manage, and monitor practice budgets, payroll, and expenses.
- Oversee billing, coding, insurance claims, and collections to ensure timely and accurate revenue capture.
- Review monthly financial statements, identify variances, and recommend corrective actions.
- Negotiate contracts, lease agreements, etc.
- Ensure provider credentialing and payer contracts remain current and accurate.
Compliance & Risk Management
- Ensure practice operations comply with HIPAA, OSHA, state, and federal regulations.
- Maintain accurate documentation, reporting, and recordkeeping in accordance with legal and ethical standards.
- Coordinate audits, inspections, and compliance reviews as needed.
- Develop and implement risk management strategies to minimize liability and enhance patient satisfaction and safety.
Patient Experience
- Promote a culture of service excellence and patient-centered care.
- Respond to escalated patient concerns, complaints, or grievances in a timely and professional manner.
- Monitor patient satisfaction and implement improvements based on feedback.
- Support initiatives to improve access to care, including telehealth integration where appropriate.
Strategic & Practice Growth Support
- Lead strategic planning and growth initiatives in partnership with board of directors.
- Ensure effective marketing, community outreach, and referral development strategies.
- Research and recommend new technologies, tools, or services that improve efficiency and patient care.
- Provide data analysis and reports to leadership to guide decision-making.
Qualifications
Education & Experience
- Master’s degree in Counseling, Social Work, or a related field required.
- Must hold an active Arkansas license as a Licensed Clinical Social Worker (LCSW), Licensed Professional Counselor (LPC), or other comparable independent behavioral health licensure.
- Minimum of 3–5 years of management experience in a healthcare setting, with behavioral health preferred.

- Demonstrated knowledge of healthcare billing, insurance reimbursement, and compliance requirements.
Knowledge, Skills & Abilities
- Strong leadership and supervisory skills with the ability to motivate and guide staff.
- Excellent communication, conflict resolution, and interpersonal skills.
- Proficiency in Electronic Health Record (EHR) systems, scheduling software, and Microsoft Office Suite.
- Strong organizational and problem-solving skills, with the ability to prioritize competing demands.
- Financial acumen with ability to analyze budgets, revenue reports, and operational data.
Working Conditions
- Full-time, primarily on-site position in a professional office environment.
- Standard office hours with occasional extended hours to meet business needs.
- Frequent interaction with staff, providers, patients, and external business partners.
- May require occasional travel for training, meetings, or community outreach.
